FAMILY GROUP POLICY
It is our policy at CENTURY 21 Bay Reef Realty to rent only to family groups due to the obligations to our owners. A family group is defined as parents, grandparents, children and extended family members vacationing in one home. A non-family group is defined as unmarried young adults under 25, high school students, college strudents or any other group type situation. Properties are patrolled on a regular basis and should a violation to this policy be found, the group will be subject to immediate eviction with NO REFUNDS OF RENT. Identification may be requested.
RESERVATIONS
Our offices are open from 9:00 am to 5:00 pm 7 days a week. We are closed Thanksgiving, Christmas and New Year's Day. Reservations can be made in person, online at www.bayreef.com, or by calling on our toll-free reservation number 1-800-527-7333. If our toll free lines are busy, try our alternate number 409-737-2300. If you would like to preview a vacation home, just go to our web site at www.bayreef.com or you can call our office and our reservationist can assist you in finding out when the home will be available for you to tour.
Rental weeks begin on Friday, Sunday or Monday as indicated in each description. Partial weeks are available for some properties. During Peak season, there is a 3-night minimum, with reservations being accepted the week of the desired vacation date. Reservations made online do not constitute confirmed bookings. Broker reserves the right to correct anomalies in renter’s booking online out of season; incorrect dates used; or any other reason.
ADVANCE RENT
When you reserve a property, your vacation specialist will assist you with completing the Confirmation Lease Agreement. Our office must receive the signed Confirmation Lease Agreement, along with an advace rent payment of one half of the rental rate, plus trip cancellation insurance premium, if chosen, within 3 days of making your reservation by phone.
Due to the high demand for rental property, we cannot hold unconfirmed reservations and therefore suggest that you take advantage of OVERNIGHT DELIVERY SERVICES, or using a credit card. Your reservation is subject to cancellation without notice if your payment has not been received on time. If you use a credit card it must be presented at check-in for a hard copy imprint to complete the transaction.
BALANCE
The balance is due 30 days prior to check in. ALL RESERVATIONS MUST BE PAID IN FULL PRIOR TO CHECK IN.
Please make all checks payable to CENTURY 21 Bay Reef Realty and mail to 12200 FM 3005, Galveston, Texas, 77554. Payments may be made by personal check (not accepted within 30 days prior to check in), credit card or by electronic check (a convenience fee will be charged).
TRIP CANCELLATION INSURANCE & HURRICANES
In the event of a mandatory/ordered evacuation by the Property Manager and/or Galveston County Emergency Management, no rebate will be offered. However, Trip Cancellation Insurance is available as a viable alternative, as it offers additional coverage such as medical emergency, death in the family, as well as storm evacuations. The cost of this insurance is a percentage of the total rent and is automatically added and due with your advance rent payment. A brochure outlining the benefits, exclusions, and limitations is available upon request and online. If you do not wish to purchase this coverage, you may delete the charge by initialing where indicated on your Vacation Rental Agreement. We strongly urge you to take advantage of this option, as no refunds are offered.
SECURITY DEPOSIT
During all reservations, our homes require a refundable security deposit, the purpose of which is to recover some of the expenses incurred for repairing damages caused by overuse, abuse or neglect, for special cleaning requirements, for overuse of the home, for eroneous service calls by guests, or for failure to properly dispose of trash. Agent, or Agent's representative, will inspect property upon Tenant's departure and will bill for all costs for damages due to extra cleaning, repairs, or replacements not reported to CENTURY 21 Bay Reef Realty. Tax must be charged on the assessed damage. If the cost of the damages is indeterminable by the time of departure, the tenant shall remain responsible for ALL such costs and agrees to pay promptly when notified by Agent of assessed amount. Rearranging of furniture is not permitted. TENANT MUST LEAVE PROPERTY CLEAN AND READY FOR THE NEXT GUEST, ALL DISHES WASHED AND PUT AWAY, ALL FOOD REMOVED FROM REFRIGERATOR AND ALL TRASH REMOVED FROM HOME, ALL BEDS MADE PRIOR TO DEPARTURE AT CHECK OUT. Security deposits are paid in cash, money order, travelers checks, or cashiers check & will be returned to the guest of record ONLY. Security deposits will be postmarked after the fourteenth (14) business day from the date of departure. Any damage and/or extra cleanings will be deducted from the security deposit.
RETURNED CHECKS
There is a $25 charge for returned checks. We do not redeposit returned checks. They must be replaced with a money order, cashier's check, or credit card within 5 days.
CANCELLATIONS & TRANSFERS
CANCELLATIONS must be made in writing and received by CENTURY 21 Bay Reef Realty 30 days prior to arrival date to receive a full refund less a $75.00 cancellation fee. If cancellation is received within the 30 days before your scheduled arrival, then all monies paid will be forfeited. Reservations made within 30 days of arrival date are subject to all monies forfeited if canceled. The trip cancellation insurance premium is non-refundable. Refunds will be made in the same manner as payment was received and only to the person on the reservation. TRIP CANCELLATION INSURANCE IS HIGHLY RECOMMENDED TO PROTECT AGAINST UNEXPECTED EVENTS.
TRANSFERS by tenant may be made from one week to another WITHIN THE SAME PROPERTY ONLY, for a 75.00 fee. All requests for transfers must be made in writing and received by CENTURY 21 Bay Reef Realty at least 30 days prior to check in. Transfers require Owner approval and may be denied. Otherwise, Transfers follow Cancellation guidelines.
CHECK-IN
In order to allow time for cleaning, inspecting, and maintenance between guests, homes are not available for check-in earlier than 3:00 pm on your arrival date. Check-ins will be available from 3:00 pm - 5:00 pm. Please do not expect early check-in and plan your trip accordingly. Please do not go onto the premises before you have received your check-in package from our office. Keys will be released to the guest of record only. In extreme situations for cleaning and regular maintenance, check-in time may need to be extended until 7:00 on check-in day.
LATE ARRIVALS
Check-in times are set for the safety of all parties concerned. Check-ins will be at CENTURY 21 Bay Reef Realty office at 12200 FM 3005 Galveston TX 77554 between the above specified check-in hours.
EARLY DEPARTURES
If you are planning to leave early, please contact our office and drop the keys in the key box at the office.
CHECK-OUT
Check-out on the day of departure will be no later than 10:00 am. All Keys must be returned to the office on the check-out day. All unreturned keys have a $25 fee. Upon check-out, we ask our guests to leave their home in the same general condition as it was found. Leave the home clean, wash dishes, remove all food and trash, make beds, shut & lock windows and lock doors.
MAINTENANCE & CLEANING
Every effort is made to have the home clean and all equipment in good working order. Even the newest or best-maintained equipment occasionally malfunctions. Any problems should be reported to our office immediately so we can make arrangements to resolve them. Repairs are corrected in as timely a manner as possible. We reserve the right, if necessary, for the maintenance staff to enter the home during business hours for repair, care, or management of the property. We will make every effort not to disrupt your vacation. REFUNDS WILL NOT BE ISSUED DUE TO MALFUNCTION IN EQUIPMENT OR OTHER GUEST DISSATISFACTION.
PETS
Pets are not permitted on any premises unless otherwise noted in the individual property description. Pets shall be limited to 2 domestic, housebroken, non-destructive adult dogs under 20 pounds (no puppies). Look for our pet icon. For those homes that accept pets, there will be a taxable $100 non-refundable pet fee that is due with the balance payment. Breach of this condition is grounds for immediate eviction without refund. If there is evidence left after departure that a pet has been on location all damages / extra cleanings will be deducted from the security deposit along with additional fees at the discretion of the management company.
HOT TUBS
Some of our homes feature hot tubs for your vacation enjoyment. Unless otherwise noted hot tubs are available year round. Hot tubs are chemically serviced and cleaned regularly. It is the guests' responsibility for the supervision and appropriate use of the hot tub. They can be dangerous for children, pregnant women, and other prople requiring medical attention or with sensitive skin conditions. Homes, which are not equipped with hot tubs, do not allow rental of soft spas/hot tubs by guests due to possible electrical and/or structural damage.
FIREPLACES
Use of all fireplaces is limited to off-season only. No rebates are made for nonfunctioning fireplaces.
GRILLING
Grilling is only permitted on concrete driveways with a minimum of 25 feet from the house. No grilling is allowed on decks, porches, and wooden walkways or in carports. Grilling upstairs is cause for loss of deposits. Please leave grill cleaned and ashes properly disposed of upon departure. If a gas grill requires propane, it is available at many locations throughout the area and will be the responsibility of the guest to replace. We will remiburse guests who present a receipt.
TRASH
Place trash in outside receptacles and leave green bins under the house for the trash service to roll out on the right day. Refer to the information sheet in your home for day of pick up.
POWER, PHONE, INTERNET & CABLE OUTAGES
As part of Galveston Island life, we occasionally experience outages that are beyond our control. We will be more than happy to report these outages, but NO REFUNDS will be given due to outages.
CONSTRUCTION
New construction is abundant throughout Galveston Island. Unfortunately, we have no control as to when and where construction occurs. No refunds or property transfers will be made.
OCCUPANCY
Our occupancy limits are determined by local health laws and must be adhered to. Each maximum occupancy includes children. Recreational vehicles may be used for transportation purposes only and not as a means to increase occupancy, nor can they be attached to the water or the electricity facilities. In the event a property is over occupied, guests are subject to eviction with NO REFUNDS.
LINENS/TOWELS PROVIDED
All of the CENTURY 21 Bay Reef Realty Vacations Homes offer LINENS/ TOWELS PROVIDED. Guests are asked to bring their own beach-towels.
MAID SERVICE
Daily, mid-week & check-out cleaning may be scheduled prior to check-in. Contact our housekeeping department for more information at soapsldh@aol.com or call 409-632-9300.
NON-SMOKING
Please respect the wishes of our owners and guests and do not smoke in the homes.
LOCKOUT POLICY
In the event a guest is locked out of the home during the rental period, the guest can borrow a key by coming to the office. After business hours, the guest must call the posted emergency number. An agent will meet the guest at the office. A $25 lockout charge is payable directly to the agent for obtaining the key after business hours.
TELEPHONES/LONG DISTANCE PHONE CALLS
Telephones are provided in all homes for your convenience and safety. Please do not abuse this privilege by charging long distance calls to the home telephone. There will be a $20 collection fee added to any calls charged to an owner. Most of the home phones have a phone block and instructions are provided in the home on how to access long distance.
LOST & FOUND
CENTURY 21 Bay Reef Realty is not responsible for any items left behind. Please be sure to check thoroughly before departure. If notified, every effort will be made to locate missing items. There will be a $20 handling charge in addition to postage. All items must be claimed within 30 days of departure.
MAIL & MESSAGES
We are happy to receive mail and messages, which may be picked up during regular business hours. Our guest are welcome to use our copy and fax services for a nominal fee. Ask about email capabilities.
RESERVATIONS FOR 2009
Pre-reservations for the 2009 rental season will begin one year prior to requested reservation date. Pre-reservations are taken on a first come first serve basis only. There is a non-refundable fee of $75. If pricing is available, we will ask for the regular deposit of 1/2 of the rental. Contact one of our vacation specialist for more information 1-800-527-7333.
